Privacy Policy

In an effort to build strong and lasting relationships with our partners based on trust and mutual interest, Analis places great importance on clarity and transparency. In line with this philosophy and our corporate values, the protection of your personal data is important to us and we have drawn up this Policy to inform you how we use and protect your personal data.
By agreeing to this Policy, you consent to the collection, processing and retention of your personal data by us, as described in this Policy, and, as applicable, to their transfer to other subcontractors that comply with the General Data Protection Regulation in order to ensure the proper performance of contracts.

By agreeing to this Policy, you also consent to receiving business information that may be useful to you (deals, offers, network events, newsletters and general information on the sector). If not, do not hesitate to inform our GDPR Project Manager at gdpr@analis.be.

Who are we?
Analis sa is a Belgian company based in Namur and with headquarters in Ghent and the The Netherlands. We specialise in distribution, maintenance and scientific and technological support services in the field of laboratory instruments. Thanks to the exclusive partnership Analis has concluded with major brands, we have carved out a key position on the Benelux market for almost 100 years.

What data do we collect and for what purpose?
Depending on our relationship with you, we may collect and process different types of data.

Data on prospects or customers:
To manage our prospects/customers in accordance with local laws and regulations, we mainly use your personal data (such as names, phone numbers and email addresses, title, function, address of your company) to respond to your requests, to send you scientific publications, information about our products, our brands and our sales campaigns and to ensure the smooth running of contracts.

Under the contracts concluded, we are responsible for the protection of personal data provided to us and undertake to take all appropriate technical and organisational measures to protect­ personal information that we hold. This also includes measures to inform our staff and any subcontractors involved in the processing of these data of their duties of confidentiality and security.

We also use your data to improve your digital experience on our supports, either to understand your interest in our supports and content, manage your account online, validate your participation in our seminars or to protect you against possible fraudulent actions.

Supplier-related data:
As part of our collaboration with our suppliers, we collect the particulars of our contacts within your organisation,­ such as names, functions, telephone numbers and e-mail addresses. We also collect, process and retain any other information that is essential for the effective representation of your brands and products in the context of the proper performance of the contract.

Data relating to website users:
When you use our supports (e-mails, forms, etc.), our website (newsletter subscription) or our social networks, you consent to the collection of available data through cookies that allow us to send you useful information about our products and services, as well as surveys that we use for scientific and statistical purposes to improve the quality of our products and services.

These data include in particular:

  • Data such as first name, surname, email address, gender, language, phone number, mailing address, your interest in certain products and services you provide by filling in forms, downloading online content, subscribing to online services or sending us correspondence, e-mails or any request for products/services,
  • Your purchase history (on e-commerce supports),
  • Any special request you could send us,
  • Your photos or videos you want to share with the consent of the persons appearing on them.

A cookie is a piece of code that is stored on your computer's hard drive. Cookies are used by almost all websites and cause no harm to your system. We use cookies to track your activity so that we can provide you with the most relevant information based on your interests when you visit our website or when sending e-mails. We may use the information contained in the cookies to make sure that we show you solutions that are tailored to your needs. We may also use cookies to analyse traffic on our site to improve the information.

It is up to you to determine in your browser settings whether you accept them or not.

Data relating to applicants:
During recruitment, we collect, process and retain the data we need, whether we have received it directly from the applicant or through our recruitment partners. This includes data such as the name, contact details, education background, career, address, telephone number, email address in case we need to contact you and any other information that is necessary (e.g. copy of the diploma).

By sending us information about yourself in connection with an application, participation in our seminars or any other request from you for our products or related services, you agree to this policy.

How to modify your personal data?
You are free at any time to ask us about the information we hold about you. If you want to edit your data, you can also ask us to correct, complete or clarify them.
You can also object to your data being used for commercial prospection purposes.

Finally, you can ask us to delete any personal data about you that we hold. In this case, depending on the type of personal data and the reasons for its processing, it is possible that we may not be able to meet our contractual obligations or, in extreme cases, to continue our relations with you. Please note that, when required by law, we may keep a record of your data for archive purposes.

If you suspect misuse, loss or unauthorised access to your personal information, please immediately notify our GDPR project manager at gdpr@analis.be to remedy the matter quickly.

With whom do we share your personal data?
We may disclose your personal data to Analis employees or service providers, suppliers and/or business partners that comply with GDPR for the aforementioned purposes, and only to the extent necessary for the proper performance of tasks contractually assigned to them. These people may need to contact you directly using the contact information you have provided.


How is the security of your data ensured? Where are they stored and for how long?
Your personal data are stored either in our databases (secure access and reserved for certain functions) or in those of our service providers (as long as they undertake to respect the GDPR) and only for the time necessary to carry out the processing for the intended purpose.

Furthermore, we would like to assure you that the communication of personal data to our subcontractors (social secretariat for example) is encrypted, that our servers and our VPN (virtual private network) are secure (SSL security protocol, a widespread security protocol that creates a secure channel between two machines communicating over the Internet or an internal network) and that access to archived data is strictly regulated.

We are committed to taking all appropriate technical and organisational measures to protect­ the personal information we hold. This also includes measures to deal with any suspected data breach.
